Read Below for Important Information Regarding Your ATC Presentation or Poster Graphic.

To view session details for your role at ATC:
  1. Log in to the ATC Program User Portal here. Only the submitting author may log in and access the site. 
  2. Your login credentials are the ones you created when submitting your abstract. If you do not know your login, please use the "Forgot Your Username/Password" links on the page. For additional login assistance, please email atc@support.ctimeetingtech.com.
  3. Select the tab that states "Tasks".

Instructions for Presentation Types


Below information pertains to In-Depth Symposia, IMPACT Sessions, Focus in Transplantation, Controversies in Transplantation, Abstract Sessions and Poster Presentations.

If you are speaking in a Meet-the-Expert (MTE) Session, please read to the bottom of the guidelines for SPECIFIC MTE session guidelines.

Overview


Speaker Preparation

All speaker presentations will be given In-person in Boston.

All oral speaker presentations can be created with Microsoft PowerPoint for Windows. 

Each speaker MUST bring their presentation to the ATC Speaker Ready Room on any of the following formats:

  • USB External Hard Drive
  • USB Flash Memory Stick

The Speaker Ready Room laptops will have PowerPoint loaded and will support .ppt and .pptx files.

Speaker Ready Room

The Speaker Ready Room is located in the John B. Hynes Convention Center – Room 207, Level 2 - will be open during the following hours:

Saturday, June 4                                6:30 am – 5:30 pm

Sunday, June 5                                   6:30 am – 6:30 pm

Monday, June 6                                  6:30 am – 6:30 pm

Tuesday, June 7                                  6:30 am – 6:30 pm     

Wednesday, June 8                            6:30 am – 10:00 am

Speaker presentations must be uploaded in the Speaker Ready Room at least 2 hours prior to the start of their presentation.


Disclosure Information


REQUIRED

The ATC requires presenters to include their mandatory financial disclosure BEFORE the first/title slide of their PowerPoint presentation.

When you are preparing your presentation, please be sure to include this information on your first slide

All presenters are required to include a Speaker Disclosure Slide in their presentations. The template can be downloaded below.

Presentation Setup


PowerPoint (.ppt or .pptx) is recommended for all users.

If you are speaking in a Meet-the-Expert session, please read to the bottom of the guidelines for SPECIFIC session guidelines.

Slide presentation dimensions are 16:9

The recommended video format is MP4. If you are using another video format, please consult with the audiovisual contact onsite in the speaker ready room to make sure the video will be compatible with the equipment used in session rooms.


At the Conference 


All presenters are required to check-in at the Speaker Ready Room and preview their files no later than TWO HOURS PRIOR to the start of the session in which they are to speak. Even if a presenter is unavoidably delayed, he/she is still required to go directly to the Speaker Ready Room.  DO NOT GO STRAIGHT to the session WITHOUT FIRST CHECKING IN AT THE SPEAKER READY ROOM.

Speaker Ready Room, Room 207, Level 2 at the Hynes Convention Center

In the Speaker Ready Room, audiovisual staff is readily available to help speakers upload and prepare their presentation.  The computers in the Speaker Ready Room and presentation rooms will be Windows-based PCs with Microsoft PowerPoint. Presenters should make sure all fonts appear as expected and all sound/video clips are working properly in the Speaker Ready Room.

The following presentation file types are acceptable for ATC presentations:

  • Microsoft Office PowerPoint (.ppt), (.pptx)

Security


  • Proper identification is required in order to submit a presentation and also to upload, preview, and edit files in the Speaker Ready Room.
  • Media storage devices (USB Memory Sticks, USB External Hard Drives, etc.) are returned to ATC Registration Desk or destroyed if left behind.
  • Cameras and video equipment are not permitted in the Speaker Ready Room.
  • All files are deleted off of all computers at the end of the meeting in the presence of an ATC staff member.

Movies and Multimedia


Be sure if using movie clips or other multimedia, to place all items used for the presentation’s creation in a folder and copy this folder to a backup media drive.

This is necessary for any clips to run properly; without the clips the PowerPoint presentation will not know where to find the movie. Remember to bring this disk with you to the meeting.


Meeting Room Setup


  1. At the speaker lectern:
    • A monitor to view the presentation
    • A keyboard to advance slides
    • A laser pointer
    • A microphone
    • A speaker timer that will show the presentation time and countdown.  When the speaker’s presentation time is finished, a red light will show on the timer.
  2. At the moderator head table:
    • A monitor to view the presentation
    • (2) table top microphones
  3. Audience:
    • Microphone in aisles of seating used for attendee question and answers after speaker presentation
  4. Audiovisual technician table:
    • Technician to load presentations and ensure microphones are working properly
    • Computer with all session presentations

Each presentation room will be staffed with an audiovisual (AV) technician, who will assist in starting each presentation. Before the session starts, the AV technician will confirm all presentations are loaded on the technician computer and accounted for. If the AV technician notices a missing presentation, then he/she will contact the Speaker Ready Room for verification and notify the moderator if necessary.

The AV Technician will ensure that each presentation is loaded on the lectern speaker monitor.  Once the presentation is loaded, the speaker will then control the presentation slides from the lectern using a computer keyboard.  There will be a separate laser pointer.


IMPORTANT: Meet-the-Expert Sessions ONLY


Definition: This session is a conversation-based discussion- similar to a Fireside Chat session.

  • Intended to be a small group audience.
  • The purposeful layout is designed to allow interaction and discussion while creating new connections.
  • This setting is a relaxed, informal atmosphere.
  • No formal power point presentations.

General Presentation Best Practices


Generic and Trade Names
  • Presentations must give a balanced view of therapeutic options.
  • Faculty will be asked to use generic names to contribute to this impartiality.
  • If trade names are used, those of several companies should be used rather than only that of a single supporting company.
Unlabeled Uses of Products

When an unlabeled use of a commercial product, or an investigational use not yet approved for any purpose is discussed during an educational activity the speaker should disclose that the product is not labeled for the use under discussion or that the product is still investigational.

Photography & Social Media Policy

The ATC welcomes attendees to take photographs during the event with personal mobile devices for non-commercial purposes. Live tweeting and sharing of meeting content (such as slides, posters, and exhibitor information) on social media as a way to share information is also permitted.

If a speaker does not wish to have his or her session or research photographed or shared via social networks, the speaker will make an announcement before the presentation.

The ATC strongly encourages compliance with speaker requests regarding photography, audio/video recording, livestreaming, and social media sharing.

Poster Instructions for the Virtual Platform


Poster Graphic Upload & MP3 Audio Clip File Guide

ATC has partnered with Freeman Orchestrate as the official virtual platform provider.  All accepted ATC abstract text will appear in the ATC 2022 Virtual Platform Abstract Library section.  Registered in-person and virtual only participants will have access to the ATC 2022 Virtual Platform during the Congress through June 2, 2023. 

All accepted Poster Abstracts are requested to upload a Poster Graphic and add a 2 – 3-minute Audio Clip discussing your poster.
